Name Parsing and NCOA Processing
When you upload a file with TrueNCOA, we review all input name data in your file to ensure that all name pieces are separated into their appropriate fields for NCOA processing. For example, our service can handle the following situations:
- First Name: Jane; Last Name: Doe
- First Name: Jane and John; Last Name: Doe
- First Name: Jane Elizabeth; Last Name: Doe
- First Name: John; Last Name: Doe; Suffix: Sr
- First Name: Doe; Last Name: Jane
- Full Name: Jane Doe
- Full Name: Jane and John Doe
- Full Name: Jane Doe and John Doe
- Full Name: Jane Smith and John Doe
- Full Name: Jane Elizabeth and John Doe Sr
- Full Name: Jane Smith and John Doe Sr
- Full Name: Doe, Jane
Once your file has been uploaded, you will need to map your file's input fields to TrueNCOA's system fields. In the case of name fields, there are a number of ways to map your fields depending on your name format. TrueNCOA automatically parses names when processing a file with full names in a single field. Although this is important for accurate NCOA processing, if your file has first and last names in separate fields parsing is unnecessary and adds to the overall processing time. TrueNCOA has parsing turned off automatically for all files. (Remember, files with full name will ALWAYS be parsed.) TrueNCOA's advanced options allows you to turn name parsing on or off if your names are in separate fields.
Individuals and Households
You may either map your file's first and last name fields to our system's individual first and last name fields or, if you are using a single full name field, you may map that to our system's full name field. We recommend using a first name and last name field to minimize parsing errors, but we do accept full name. If you map first and last name AND full name, you will receive an error prompting you to map one or the other.
Business Addresses
For files containing Company Name follow these steps to make sure those records are processed correctly:
- If your file contains ONLY company names and company addresses, please make sure that company name is located in the Last Name Field. You should create a first and last name field in your file. Leave the First Name field blank and place all company names in the last name field. Then, upload your file to our app, and map your First and Last Name fields to the system’s First Name and Last Name fields.
- If your file contains BOTH individual and company names and addresses, please make sure that company name is located in the Last Name Field. You should create a first and last name field in your file. Leave the First Name field blank and place all company names in the last name field. Then, upload your file to our app, and map your First and Last Name fields to the system’s First Name and Last Name fields.
Our NCOA Parser
Our name parser identifies multiple names included in the same row and splits them into multiple rows to ensure both names are processed. For example, if your file had a row with "John and Jane Doe" in the full name field, our parser will identify that "John Doe" and "Jane Doe" are different people, and process them separately. This maximizes coverage and can sometimes help TrueNCOA find additional moves on your file. Other examples include turning "John Doe and Jane Doe" into "John Doe" and "Jane Doe" or "John Doe and Jane Johnson" into "John Doe" and "Jane Johnson". This saves you time and improves your deliverability rates!
